Job Description - Convention Services Manager Position
Summary:
This position is responsible for planning, organizing and coordinating functions and guest rooms for assigned group accounts, in accordance with hotel policies and quality standards, to ensure customer satisfaction, maximize profitability and generate return business.
Essential Functions:

To understand and respond to all guest needs and requests in a timely and professional manner.
Act as liaison between hotel and meeting planner to ensure a successful event.
This includes obtaining rooming lists, overseeing group room blocks, welcoming VIP's, overseeing amenity requests, handling on site event logistics, coordinating outside vendors, and enforcing the contract.
Write resumes for each group giving the hotel's departments an overview and schedule of the conference and its objective, details of the meeting agenda, AV requirements, VIP's, billing arrangements and amenity requests.
Plan group's food and beverage events, including assistance with menu and wine selection, decorations, entertainment and audio visual.
Create and execute accurate banquet event orders that include detailed information on the agenda, menu items, room set up, and billing arrangements.
Meet the client upon arrival and conduct pre-conference review, including the introduction of Department Heads, overview of events, and guest arrival details.
Communicate last minute changes in group functions to hotel staff and ensure accurate and satisfactory follow up.
Conduct post conference review with clients including the presentation of banquet checks/group master accounts when applicable.
Send thank you notes and meeting critiques, and ensure any feedback is communicated and responded to according to hotel guidelines.
Attend daily, weekly and monthly meetings as directed.
Work with the Sales Team to generate an accurate monthly forecast of group food and beverage revenue associated with all group events.
Ensure monthly goals are attained to maximize revenue.
Manage and maintain Delphi and Maestro client information and reports accurately.
Maintain the professional standards of the hotel as set forth by The Arlington Resort Hotel and Spa and participate in special projects as required.
Perform other functions as required and directed.
Responsibilities:
Sets example through professional, friendly attitude towards clients and associates, timely response to clients and associates and observance of sales office standards Coordinate meeting/event rooms and services for groups and organizations holding meetings, conventions and other events at the hotel Negotiate menu, AV, and rental prices and agreements.
Organize banquet or catering services, reserve audio-visual equipment and plan any changes to the configuration of the event space Meet with representatives of groups and organizations to discuss what they have in mind for their meeting or special event Sign contractual agreements and usually keep records of all communications in writing Meet with the heads of other departments in the hotel to coordinate any planned events Monitor events and address unexpected problems as they arise to make sure that the functions go as planned Provide pricing and guidance recommendations to clients with approval by the Director of F&B or Chef as needed Drive customer loyalty to grow share of the account by delivering service excellence throughout each customer experience Conducts tours of the hotel and banquet facilities; entertains qualified potential clients in accordance with company and property policies and procedures Executes and supports the operational aspects of business booked (generating resumes, BEO's, and customer correspondence) Work with sales managers to ensure understanding of sales strategy and effective implementation of the strategies for each segment to help upsell and maintain client loyalty Perform any other job-related duties as assigned Skills and
Qualifications:
Basic computer skills including Microsoft Office.
Excellent communication, presentation, organization, and time management.
Analytical skills to measure business potential and value to the hotel.
Able to interact with all levels of customers, team members and management.
Bachelor's degree in Business Administration or Sales and Marketing or equivalent experience.
3 years of banquet, event, or meeting planner experience or equivalent combination of education and experience.
